BastionOBElectronic occurrence book

The station occurrence book, without the paper or the doubt.

Every incident, property movement and handover recorded once, in order, under the officer’s own number, and protected so that a quiet change can be found.

What goes in the book

The police starting point is neutral across jurisdictions. Change the lists to match your own categories and forms.

  • Incidents by category, with a job or case reference and a use of force category
  • Property and exhibits with bag or seal number and where the item is stored
  • Checks on vehicles, people and premises with the outcome
  • Briefings and handovers so the next shift starts informed
  • Early, late and night shifts

What it fixes

Entries that can be reworded later.

No edit, no delete. A correction links to the original, and the program gives the same answer to everyone who opens it.

Doubt about whether a record changed.

The integrity check compares every entry with its keyed checksum and reports any that were changed, removed or re-ordered directly in the database.

Property that is hard to follow.

Link each movement of an item to the entry that first recorded it, then print the whole thread in order.

Knowing who had access.

Named users, roles, and an audit log that records sign-ins, exports, backups, key changes and integrity checks.

Safeguarding for police and enforcement units

Occurrence books name victims, witnesses and officers. The content is sealed at rest, and the server stays in your hands.

  • Runs on your own Windows server, so entries are never sent to us
  • AES-256-GCM encryption of what happened, where, and the details
  • Key held outside the data folder, with a recovery key kept offline
  • Strict page security rules and rate-limited sign-in
  • No independent certification yet: check the protection against your own accreditation and policy

Fits alongside your other systems

Any system that can send a web request can add entries through the connection feature, each with its own key. Entries export to a spreadsheet for review and handover.

What it is not

BastionOB is not an evidence management, case management or records system, and we do not give legal advice. It keeps the occurrence book. Retention, disclosure and accreditation rules remain yours to check.
